Effective Date
This policy takes effect July 11, 2025 and remains in force until Rep Lock Marketing (“Agency”) issues a written amendment.
Applicability
The provisions below govern every event that any client (“Client”) asks the Agency to promote on or after the Effective Date. They also apply to any change requested after a promotion has begun. The Agency will manage all event marketing in accordance with these provisions.
Purpose
This policy sets forth orderly bylaws that enable the Agency to deliver marketing services promptly and with professional care, giving each Client the best possible outcome.
Key Deadlines
To ensure a timely launch, the Client shall provide the items listed below no later than thirty (30) calendar days before the desired event date.
• Complete event particulars, including date, time, venue (unless a webinar), and budget
• Written requests for any new creative assets, including updated graphics, advertising copy, or landing pages
• Any required legal disclaimers, regulatory disclosures, or compliance statements that must appear in promotional materials
Client Responsibilities
The Client shall supply accurate information, client‑requested brand asset replacements, and responses to Agency inquiries within two (2) business days. The Client shall notify the Agency as soon as reasonably possible upon learning of any change that could affect the timeline or promotional content of the event.
Agency Obligations
Once the Agency has received all materials listed under Key Deadlines, it will prepare, schedule, and deploy advertising, emails, event CRM configuration, and landing page content in line with industry standards and the Client’s brand guidelines, where applicable. Drafts will be provided for review, when requested, and any issue that may affect performance will be communicated to the Client promptly upon identification.
Late Change Requests
A change request submitted after the thirty (30) day threshold, if accepted, may alter delivery schedules, media budgets, or creative scope. The Agency will review each request case by case, issue a revised timeline and fee schedule, and proceed only after receiving the Client’s written consent.
Approval Window
If the Client does not deliver written feedback within three (3) business days after receiving a draft, the material will be deemed approved, and the Agency will move to the next stage. Delayed feedback may postpone the campaign launch.
Cancellation or Rescheduling
If the Client cancels or reschedules an event after creative work has started, the Client shall pay all media costs and labor expenses incurred up to the point of notice.
Review and Amendment
The Agency reviews this policy quarterly and may amend its terms by giving the Client thirty (30) days’ written notice.
